Creating Invoices
How to create a new invoice from the dashboard, invoice list, customer page, or job page.
Where to Create an Invoice
You can start a new invoice from several places in the app:
- Dashboard — click the New Invoice button at the top
- Invoices page — click Create Invoice in the top right
- Customer detail page — create an invoice pre-filled with that customer
- Job detail page — create an invoice pre-filled with that job and customer
Invoice Form Fields
Customer and Job
- Customer (required) — select an existing customer or click New Customer to create one inline
- Job (optional) — link the invoice to a specific job. Required if using percent-of-job mode.
- PO Number (optional) — a reference number from your customer
Invoice Mode
Choose how to calculate the invoice total. The default is Line Items. See Invoice Modes for details on all three options:
- Line Items — add individual items with description, quantity, and unit price
- Fixed Amount — enter a single total amount
- Percent of Job — calculate as a percentage of the job’s contract value
Dates
- Issue Date — when the invoice is issued. Defaults to today.
- Due Date (required) — when payment is expected.
Tax and Discounts
- Tax Rate — percentage applied to taxable items. Defaults to your organization’s rate set in Invoice Settings.
- Discount Type — None, Percent, or Fixed dollar amount
- Discount Value — the discount amount (only shown when a discount type is selected)

Additional Fields
- Service Address — the location where work was performed
- Notes — visible to the customer on the invoice and in the portal
- Terms — payment terms visible to the customer. Defaults to your organization’s terms set in Invoice Settings.
Auto-Numbering
Invoice numbers are assigned automatically when you create an invoice. The format is your prefix followed by a padded sequence number — for example, “INV-00001.”
You can customize the prefix (default “INV-”) and the next sequence number in Invoice Settings. Each new invoice increments the sequence by one.
If you need to change an invoice number after creation, you can edit it on a draft invoice.
Calculation Preview
As you fill in the form, a live calculation preview shows:
- Subtotal — total before tax and discounts
- Discount — amount deducted (shown in red)
- Tax — tax amount with the rate shown as a percentage
- Total — final amount due
This updates in real time as you modify line items, tax rate, or discounts.
Saving
Click Save to create the invoice. It’s saved as a Draft — you can edit it freely before sending.
Tips
- You don’t need to create a job first. You can invoice a customer directly.
- Line item descriptions can be up to 500 characters.
- The Taxable checkbox on each line item controls whether tax applies to that item.
- If you frequently invoice with the same tax rate and terms, set your defaults in Invoice Settings to save time.
